HIPAA Compliant Texting: Weave Review | Best Fit 2026

HIPAA compliant texting with Weave from a healthcare office number

HIPAA compliant texting with Weave: the short answer

If your office wants HIPAA compliant texting with patients, Weave is one company dental, medical, eye care, physical therapy and veterinary offices use for it. It’s a business phone system and a patient texting tool rolled into one. Weave’s own page says it “supports HIPAA-compliant text messaging,” and it gives its clients a HIPAA agreement. The Base Plan starts at $199 a month and includes two-way texting, a text back on missed calls and Text to Pay. This Weave review comes down to one question: are your phones and your patient messages the same headache? If they are, Weave is worth a close look, because it puts both on one screen for your front desk. Keep in mind that Weave replaces your current phone system, so this is a bigger move than adding a texting app.

Base Plan from $199 a month Customer review ratings: 4.6 on Google Maps, 4.4 on Capterra It replaces your phone system Good for Reach support, Poor for Reliable calls

Prices and contract terms checked November 1, 2026, and texting pages checked November 3, 2026, on Weave’s own website.

Nobody buys a rank here. Weave gets the same scoring as every other company we cover, built on many factors, from what real customers report to what the contract asks of you. These grades are our opinion. Yours is the one that counts, because the best choice is the one that fits your office.

Five minutesBusy owner or manager?

One table with the main facts about Weave, plus our report card on the seven things that matter most.

The 5-minute brief

It’s 8:05 on a Monday morning. Two lines are ringing, someone is at the counter with a toddler on their hip, or a dog pulling at its leash, and the voicemail light is already on from the weekend. Someone needs to confirm this afternoon’s appointments, someone else is looking for a fax that may or may not have arrived, and the patient who called while you were busy has probably just dialed the office down the street. Your front desk isn’t falling short. They’re just doing five jobs with three different systems.

That’s the morning Weave is built for, whether you run a dental office, a medical or physical therapy clinic, an eye care practice or a vet clinic. If you’re here looking for HIPAA compliant texting, it’s also the morning when a patient texts a question about a test result or a new pair of glasses, and someone has to answer it safely. Weave tries to pull those jobs onto one screen, so the person answering the phone can also see who’s calling, text a patient back from the office number and send a payment link without switching to something else.

This guide is written for the person who has to live with that decision, whether you own the practice or run the office. We’ll go through what HIPAA asks of texting, what Weave is, what a normal day looks like with it, who it suits and who it doesn’t, and what you’re agreeing to when you sign. If you want the numbers in full, our Weave Pricing guide has every plan. If you’re still comparing companies, our Patient Engagement Software guide puts Weave beside the others.

The 5-minute Weave review for HIPAA compliant texting

Here’s the whole Weave review on one screen. Weave suits healthcare offices that want phones and HIPAA compliant texting from one company, and it starts at $199 a month. Customers like using it, the Terms ask a fair amount of you when you leave, and the price you see isn’t the whole bill.

Our report card for Weave’s phones and HIPAA compliant texting

Star ratings tell you whether people like a product. They can’t tell you what your bill looks like in month three, or what happens the day you try to cancel. So we grade Weave on the seven things that decide whether you’ll be glad you signed, the way a report card would. These are the same grades Weave earns in our Patient Engagement Software guide. We scored it there against what a dental office needs, and nearly all of those checks, from texting and reminders to the HIPAA agreement and canceling, matter just as much to a medical, eye care or vet office.

Weave earns an OK on six of the seven grades. Reliable calls is OK because many offices say it runs smoothly day to day, though Weave’s Terms promise no set amount of uptime, meaning the share of time a service stays working. Reach support is OK because you can call a person on published hours, while offices are mixed on how quickly problems get solved. Its one Poor deserves a plain word: What you’ll pay is Poor because a starting price is listed while much of the final bill isn’t. A Poor doesn’t mean a bad company. It means this is where you should slow down and look closer.

What you’ll payHow much of your real bill a company shows you before you talk to sales. It measures how open the pricing is, not how cheap it is.
Happy customersWhether people stay pleased after living with the system for a while, not only on the day they signed up.
Reliable callsWhether calls, texts and reminders go through, day in and day out, because a missed call can be a missed patient.
Easy to manageHow easily your office manager can change a setting, add a person or control who sees what without calling for help.
Reach supportWhether you can get a person when something breaks, and whether the company tells you when they’re open.
Canceling fairlyHow long you’re tied in, what it costs to leave early, and whether you can take your data and your number with you.
Meeting your needsHow much of what a healthcare office needs is confirmed by Weave itself, from the HIPAA agreement and the connection to your practice software to reminders, recall and payments.

What is Weave? HIPAA compliant texting and phones in plain English

Weave is a phone system and patient communication tool for healthcare offices. Calls, patient texts, faxes and staff messages all run through one app on your computer and cell phone. Your practice software, the program that holds your schedule and patient records, connects to it, so Weave can show your team who they’re talking to.

Weave is a phone company as well as software. Your calls run over your internet connection, which is called VoIP, short for voice over internet. That’s the biggest thing to understand before you go further, because it’s why Weave can do so much and also why choosing it is a bigger step than trying a new texting app.

Base PlanYour phonesDesk phones, a softphone, which is a phone that runs on your computer, and a mobile app for taking business calls on your cell.
Base PlanYour patient textsTwo-way texting from your office number, an automatic text to anyone whose call you missed, and a text link so patients can pay a balance.
Add-on bundlesYour schedule and reputationReminders, recall, online booking and digital forms in one bundle, and review requests and bulk texts in another.

Weave also changed owners recently. Francisco Partners completed its purchase of Weave on October 26, 2026. Weave keeps its name, and the announcement states no change to customer pricing or contracts. Weave’s texting page lists software connections for dental, veterinary, medical and optometry offices. For dental offices, Weave’s dental page describes automatic appointment write-back, which means a booking lands in your practice software by itself, and its press releases name Eaglesoft, Fuse, Dolphin and Dentrix Ascend. We couldn’t read Weave’s full list of connected software for any kind of office, so don’t assume yours is on it.

An ordinary day of HIPAA compliant texting at your front desk

An ordinary day shows what a Weave review can’t get across in a feature list. Picture a two-dentist office using the Base Plan with the Coordinate Bundle. A medical clinic, an eye care practice or a vet clinic has the same rhythm with different names on the screen, so swap in your own. Your times will differ, but these are the moments where Weave changes the work.

7:45, doors still lockedYesterday’s reminders have already gone out, and the replies are waiting. Your front desk can see who confirmed and who needs a nudge, instead of starting the morning by dialing down a list.
9:10, the phone ringsBefore anyone picks up, Call Pop puts the caller’s details on screen. “Hi Mrs. Alvarez, how’s that crown feeling?” lands a lot better than “Can I get your date of birth?” At a vet clinic, it’s the owner’s name and the pet’s next visit.
10:30, nobody can answerEveryone’s busy with a check-in, and the call rolls past. Missed Call Text sends that person a text automatically, so a new patient gets an answer before trying the next office on the list.
12:15, a question from the backA hygienist, nurse or vet tech needs to ask the front desk something without walking out mid-appointment. Team Chat, a private message thread for your staff, takes care of it quietly.
2:40, a balance is still openRather than a third awkward phone call, your team sends a Text to Pay link. The patient pays from their phone on the couch, and nobody has to bring it up at the counter.
5:15, closing upCall Analytics, which is a simple count of your calls, shows how the day went. Recall messages can go to patients who are overdue, the job that usually slides when the phones are busy.

Weave phones and HIPAA compliant texting from your office number

Weave phones and texting are the heart of the Base Plan, and they’re the reason to choose Weave over a texting tool that sits beside your current phone company. Weave becomes your phone service, and your staff text patients from an office number rather than a personal cell, which is one of the simplest steps toward HIPAA compliant texting.

Desk phones or noneBase Plan comes with 2 Yealink desk phones or with no phones, and no price difference is shown. Weave doesn’t state whether those phones are leased or yours, and that matters, because leased phones have to go back when you leave.
Softphone and mobile appA softphone lets someone answer from a computer anywhere with an internet connection, which suits a billing person working from home. The mobile app puts business calls and texts from the office number on a cell phone.
Your internet matters more nowCalls now depend on your internet. Weave’s installer page requires your modem to be bridged, a setting your internet company can help with, and a modem and router combo that can’t do that has to be replaced.
Texting needs registeringU.S. carriers want business texting registered, a process called 10DLC. It’s your job with Weave, and the Terms note that Weave doesn’t control the process. The fee isn’t published.

Weave advertises “unlimited business texting” on the Base Plan. Bulk texting, one message to many patients at once, comes with a monthly allowance: 5,000 texts in the Attract Bundle, and Weave’s pricing table shows allowances of 1,500, 3,000 and 15,000 texts on its higher, quote-priced plans. Group Messaging lets your team text up to 8 people in one thread, such as a parent and a guardian. Weave’s pages don’t explain how unlimited texting and the bulk allowances fit together, and the Terms put phone usage costs on you and let Weave suspend service if your use falls far outside regular patterns, so if you plan heavy texting, your order is the place to see how it’s handled.

HIPAA compliant texting: what the rule asks, and what Weave covers

HIPAA, the federal health privacy law, doesn’t ban texting your patients. What it asks is that you protect their information while you do it. The government’s own guidance on emailing patients, which is the closest thing it has published, says electronic messages are allowed with reasonable safeguards. It doesn’t name texts, and we read it the same way for them. Here’s what that means at your front desk, and where Weave fits in.

Safeguards come firstHHS says providers can message patients electronically if they take reasonable care, such as checking the address before sending and limiting what goes in the message. A reminder with a time and a first name is very different from a text about a diagnosis.
A signed agreement with the companyAny company that stores or sends patient information for you needs a Business Associate Agreement, or BAA, the HIPAA contract between your office and that company. Weave publishes one, last updated April 10, 2026, which comes with your main agreement.
Your office stays responsibleWeave’s Terms, updated October 2, 2026, make your office responsible for following laws including HIPAA, and for setting up the service and keeping it secure. Weave’s HIPAA texting page says the same: physical and office safeguards are yours.
Patients chooseWeave’s Terms say texts should only go to patients who opted in, and its HIPAA texting page says you can’t send messages without a patient’s consent. HHS adds that if a patient prefers a less secure way to hear from you, you can warn them of the risk and let them decide.

Weave’s page is titled “HIPAA-Compliant Text Messaging,” and it says Weave offers an all-in-one solution that “supports HIPAA-compliant text messaging.” It lists what a compliant platform needs, including encryption, access controls by role, sign-in checks and audit logs, a record of who did what. It doesn’t plainly say Weave has every one, so ask for its security details in writing. No texting tool makes an office HIPAA compliant on its own. What it can do is make the safe way the easy way for your team, with texts going out from the office number instead of a staff member’s personal cell.

Ask before you sign: Weave’s HIPAA agreement doesn’t name texting or any plan, so ask Weave to confirm in writing that it covers the texts your office will send.

HIPAA compliant texting by kind of healthcare office

DentalDental officesReminders, recall and treatment follow-ups are most of the texts. Weave’s dental page adds automatic booking write-back, and its pricing page lists Practice Analytics and Insurance Verification for dental offices, though we couldn’t confirm which plans include them.
Medical and therapyMedical and physical therapy clinicsWeave’s medical page describes reminders patients confirm with a text and bill reminders by text and email. Physical therapists show up often among recent reviewers, and they mention texting, calling and fax in one place.
Eye careOptometry and eye careWeave’s optometry page describes the same confirm-by-text reminders and an automatic text after a missed call. Keep texts about prescriptions short, the way you would any message about someone’s health.
VeterinaryVet clinicsWeave’s vet page describes reminders clients confirm with a text, bill reminders and missed-call texts. Compliance writers point out that HIPAA covers people’s health information, so a pet’s records generally fall under your state’s veterinary rules instead. That’s their reading, not Weave’s, so check with your state board, and protect owners’ contact and payment details all the same.

Weave payments and reminders by text

Weave payments and reminders are the two jobs that bring money in, and they sit in different places. Text to Pay comes with the Base Plan. Reminders, confirmations and recall come with the Coordinate Bundle at $149 a month, so check that both are on your order if you want both.

Getting paidText to Pay sends a patient a link to pay from their phone. Weave’s pricing page also lists Payment Plans and Buy Now Pay Over Time, and a CareCredit connection went live in October 2026. Card processing fees aren’t published.
Filling the scheduleReminders go out before a visit, patients confirm by text, and Recall & Reactivation reaches people who are overdue for a cleaning, an eye exam or a pet’s vaccines. That’s where the empty appointments get filled.
Less paper at the counterThe same bundle adds Digital Forms, so paperwork can be done before the visit, and Online Scheduling, so a patient can book at 9:00 at night without calling you.

One more detail is good to know. Patients can text STOP to end marketing messages, while appointment reminders generally can’t be turned off that way, which is worth knowing if a patient asks. Weave’s Group Messaging also shows an alert when someone in a group text has opted out.

Who Weave is the best fit for: HIPAA compliant texting and phones together

Weave is the best fit for a healthcare office that wants one company handling its phones and patient texts, and that’s ready to switch phone service to get there. Fit depends on more than size, so find the description that sounds most like your office, even if you land between two.

The single officePhones and texting are the pain

What a call means to you: one person at the desk, and when they’re with a patient, nobody answers.

Coordinate Bundle $149 a month

Online Scheduling, Digital Forms, reminders and follow-ups, Appointment Confirmations, and Recall & Reactivation. This is the one most healthcare offices will want.

911 and moving your number to Weave

911 and your phone number both change hands when Weave becomes your phone company. Weave offers internet 911, called E9-1-1, which depends on an address you keep up to date. Your existing number can move to Weave at installation, and keeps sending and receiving your patient texts once it’s there. These are the two things to settle before your first day on the system.

Calling 911 from a Weave phone: say your location right away, every time. Your call goes through a third-party provider and may reach a specialized call center, so you may have to repeat your details.
Keeping 911 workingKeep your address current in the Weave Admin Portal, and update it when you move. Offices with several users or numbers must give Weave an email or phone for 911 alerts, one that someone watches around the clock. 911 can fail in a power, network or internet outage, or if an account is suspended, so Weave recommends a backup such as a cell phone, and it supplies stickers for each phone.
Softphones and the mobile appWeave’s 911 page is dated 2020, and we found no page explaining how an address is set for someone using a softphone or the mobile app. If your staff work from home or on the road, don’t count on those for 911 until your order or Weave confirms how it works.

Moving your number in, and out again

Match the paperworkMoving a number is called porting. The name and address on Weave’s form, a Letter of Authorization, must match your current phone company’s records exactly. Check your old bill first.
Keep your old service goingDon’t cancel your old phone company early, because canceling first can cost you the number. Weave handles the move at installation, and no timeline is published.
Know when the bill startsFees begin at activation, not when your number finishes moving, unless your order states otherwise. With hardware, that means once the software is on and the phones are installed.
If you leave somedayYour account must be active and in good standing to move a number out, and your cancellation isn’t final until your numbers have moved. Finish the move first, then cancel, so the number isn’t released.

Straight Answers on Weave’s contract

Straight Answers on Weave come from its own Terms, plan pages and help center, checked November 1 and 2, 2026. Weave’s contract is the Terms of Service plus your order, and your order decides most of what matters, so read it line by line when it arrives.

Can you cancel easily?Month to month, give notice at least 30 days before your next billing period. On a fixed term, the remaining balance comes due. Refunds aren’t offered on either.
Does it renew by itself?Yes. Orders of a year or longer renew unless you give notice at least 30 days before the term ends.
Setup fees?Set in your order, with no amount published. Weave’s pricing page includes expert onboarding with every plan.
Trial or guarantee? No free trial of the full platform, and no money-back guarantee is published. Hardware you buy can be returned within 14 days.

Can you reach support?Yes, by phone at 888-579-5668, live chat and ticket. Weave’s help center lists phone hours of Monday to Thursday, 6 a.m. to 6 p.m., and Friday, 6 a.m. to 5 p.m. Mountain, with separate holiday hours.
Is uptime promised? No. Service is offered “as is,” with no credit published for downtime. Weave runs a public status page listing incidents by date.
Can you take your data?Ask in writing within 30 days after your service ends, and be paid up. Fees may apply, and after 30 days Weave has no duty to keep it.
What if there’s a dispute? After 60 days of informal talks, it goes to binding arbitration under Utah law, and class actions are waived.

Weave reviews from healthcare offices using it for phones and HIPAA compliant texting

Weave reviews on Google Maps and Capterra give a steady picture: people like having calls, texts and reminders in one place, and some run into technical trouble. Below you’ll find both sites’ overall ratings, the patterns that show up across the review sites, and six recent examples from the past year, three from each site.

Who is Google Maps?Google Maps lets anyone with a Google account review a business on its listing. Weave’s listing in Lehi, Utah has 1,039 reviews. Google doesn’t confirm that each reviewer is a customer, so we read these beside Capterra.
Who is Capterra?Started in 1999, Capterra passed 2 million verified reviews in 2023, and it checks reviews before they go live. It shows each reviewer’s first name, last initial and job title.

Efficient Patient Communication, Needs Better Integration

+What they like bestI use Weave for managing patient communication in our optometry office. I personally like most the ease of messaging templates and the digital forms. The digital forms have helped our office see more patients easily, enhancing the patient experience. Messaging templates are particularly useful as they let us offer appointment slots, notify patients when their orders are ready, and confirm appointment times quickly. Additionally, I find the voicemail tracking and transcriptions really valuable.
−What they dislikeI wish that Weave was a bit more integrated with our scheduling and charting system. It is a big ask, but specifics like new vs established patients, specific time appointment reminders, I wish could have a few deeper settings. And the family tracking system gets a bit muddy when trying to reach specific patients.

In their wordsHello, this will be my 8th attempt to finalize discontinuation of service with with WEAVE I have left many voicemail messages with our Rep (Sadie) that have not been returned. I have called client support and was put on hold for 56+ minutes by Francis, again with NO HELP. I have emailed EVERY email address I could find, but still no help. I even emailed the EMERGENCY email, and told it was not supported with Microsoft. We integrated WEAVE into out software the end of April 2026. Communication was GREAT BEFORE integration; we were promised EVERYthing we wanted by Jeremy initially. Immediately after integration we voiced concerns that what we had inquired about was NOT available with Sadie but agreed to give WEAVE a grace period to see if we might like it. Unfortunately, this has not changed, and we reached out to cancel with our Rep. I left 5 voicemails and numerous emails. NOW the phone number for our Rep is a usy signal and hangs up. I have sent emails to the client support and even tried the AI support with NO HELP, I have tried EVERY avenue possible, THUS am here! We understand there may be a cancellation fee, and we are prepared to pay that, but we feel mislead. NONE of the services we asked for are even available to us, and again we discussed this with Sadie early on. We just need to cancel services and have SOMEONE help us with this.

Our Verdict: is Weave the best fit for HIPAA compliant texting?

Our verdict is that Weave is a strong fit for a healthcare office that wants its phones and patient texts under one roof and is ready to change phone service to get there. Customers like living with it, and the tools match how a front desk really works, whether the patients are people or pets.

It asks for some care in return. You’ll want to price the bundles along with the Base Plan, keep a backup for the day your internet or your phones act up, get Weave’s word in writing that its HIPAA agreement covers your texts, and read your order closely, because so much of what matters lives there. If that sounds like a fair trade for one screen at your front desk, Weave deserves a demo. If you’d rather keep your phone company and only add HIPAA compliant texting, our Patient Engagement Software guide shows you options that leave your phones alone.

What Weave does well

  • Phones and patient texting in one app.
  • Unlimited business texting from your office number, as advertised on the Base Plan.
  • Easy to use every day, with good support and an easy setup.
  • Month to month is possible when your order states no term.

What to weigh carefully

  • It replaces your phone system rather than working beside it.
  • Reminders and recall cost extra on top of the Base Plan.
  • Technical trouble at times, with no uptime promised.
  • Your numbers must move out before a cancellation is final.

HIPAA compliant texting and Weave: FAQs

Is texting patients allowed under HIPAA?

Yes, with care. HHS guidance on emailing patients says electronic messages are allowed with reasonable safeguards, and we read it the same way for texts. Use a texting service that signs a Business Associate Agreement, keep messages short, and let patients choose how they hear from you. Read what the rule asks.

Is Weave HIPAA compliant?

Weave says it supports HIPAA-compliant texting, and it gives clients a Business Associate Agreement, the HIPAA contract between your office and a company handling patient information. Its Terms make your office responsible for following HIPAA and getting patients’ consent, so ask Weave to confirm in writing that the agreement covers your texts.

Is Weave a good phone system for a small practice?

It can be, if you want your patient texting from the same company. A small office gets calls, two-way texting, Text to Pay and the mobile app in the Base Plan, from $199 a month. If you only want phones, a general phone system may suit you better.

Can a vet, eye care or medical office use Weave?

Yes. Weave has its own pages for veterinary, optometry and medical offices as well as dental, and each describes reminders confirmed by text and automatic texts after missed calls. Vet clinics should know that HIPAA covers people’s health information, so a pet’s records generally fall under state veterinary rules instead.

Does Weave work with my practice software?

Weave’s texting page lists software connections for dental, veterinary, medical and optometry offices, and its press releases name Eaglesoft, Fuse, Dolphin and Dentrix Ascend for dental. We couldn’t read Weave’s full list, so don’t assume yours is covered.

Is texting really unlimited on Weave?

Weave advertises unlimited business texting on the Base Plan, and its pages don’t put a number on it. Bulk texts to many patients at once come with a monthly allowance, such as 5,000 in the Attract Bundle. Check your order for how heavy use is handled.

Can I keep my phone number with Weave?

Yes, existing numbers can move to Weave at installation, as long as the name and address on the form match your current phone company’s records. Our 911 and moving your number section has the steps.

Does Weave have a long-term contract?

It doesn’t have to. With no stated term in your order, service runs month to month, and Weave’s plans page states that no long-term contract is required. Year-long contracts are offered at a discount, and on one of those the remaining balance comes due if you leave early.

How much does Weave cost?

The Base Plan starts at $199 a month, and each bundle adds $149. Your final price depends on your users, locations and hardware. See our Weave Pricing guide for the full breakdown.

Is Weave reliable?

Weave earns good marks for everyday use, and many offices say it runs smoothly, though some report technical trouble at times and Weave promises no set uptime. That’s why we grade Reliable calls as OK. Keep a cell phone handy as a backup.

Who owns Weave now?

Francisco Partners completed its purchase of Weave on October 26, 2026. Weave keeps its name, and the announcement states no change to customer pricing or contracts.
